Role-Based Access

Admins manage workspace settings, budgets, and team members. Members add and categorize transactions. Viewers (executives, accountants, investors) have read-only access to all data.

Multi-User Logging

No shared login. Each team member uses their own account. Their expenses are tagged to them. You see all expenses with attribution in the main transaction view.

Department Budgets

Set budgets per department: Engineering, Marketing, Sales, Operations. Each department sees their own budget progress. Alerts fire to the right people when limits approach.

Expense Approval (Coming Soon)

The expense approval workflow is on the roadmap: Members submit expenses, Admins approve or reject, approved expenses post to the main ledger. Track progress in the changelog.

Team Expense Reports

Export expense reports filtered by team member, date range, or category. Run the report at month-end. Share with your accountant or CFO without any additional formatting.

Audit Log

Every action in the workspace is recorded: who added an expense, who edited it, who changed a budget. The audit log is immutable and exportable. Compliance-ready by design.

Common questions

How many team members can we add to Money OS?

The free tier includes unlimited team members. Add every employee who needs to log expenses or view financial data without any per-seat fees.

Can team members see each other's expenses?

By default, Members see all workspace transactions. This is intentional — expense transparency reduces fraud and simplifies reconciliation. If you need isolated views per member, request it via feedback.

Is there an expense approval workflow?

Not yet. Expense approval (submit → review → approve/reject) is on the product roadmap. Currently, Admins review submitted expenses in the main transaction view and can annotate or delete incorrect entries.

How do we handle employee reimbursements?

Mark employee-paid expenses as reimbursable when logging. The reimbursable total is tracked separately. Export the reimbursable report at payroll time to process reimbursements accurately.

Can we use Money OS alongside our existing accounting software?

Yes. Money OS handles day-to-day team expense tracking and budget visibility. Export data at month-end to your accounting software (QuickBooks, Xero, Tally) for formal bookkeeping.
